FLOT Export Document Processing Agent

A FLOT Export Document Processing Agent is responsible for managing and processing export documentation for FLOT (Fleet, Logistics, and Overseas Transport) shipments. This role ensures compliance with international shipping regulations, coordinates with carriers and customs authorities, and facilitates the smooth movement of cargo across global supply chains.

Key Duties & Responsibilities:

1. Export Documentation Management
Prepare, verify, and process essential export documents, including:

  • Bill of Lading (BOL)
  • Commercial Invoices
  • Packing Lists
  • Export Declarations (AES filing)
  • Certificates of Origin
  • Ensure accuracy and compliance with international trade laws and FLOT shipping regulations.
  • Cross-check all shipment details to prevent errors or customs delays.

2. Shipment Coordination

  • Arrange and coordinate FLOT shipments with carriers, freight forwarders, and logistics providers.
  • Schedule shipments based on customer needs, ensuring timely deliveries.
  • Monitor shipment statuses and update customers on progress.

3. Regulatory Compliance & Customs Clearance

  • Ensure compliance with international shipping laws, FLOT transport regulations, and customs requirements.
  • Process Automated Export System (AES) filings and ensure proper customs clearance.
  • Maintain compliance with all government agency regulations (CBP, TSA, etc.).

4. Customer Service & Communication

  • Serve as the primary point of contact for customers regarding FLOT export shipments.
  • Provide guidance on necessary documentation and shipping regulations.
  • Resolve customer inquiries related to shipment status, documentation issues, and delays.

5. Record-Keeping & Data Entry

  • Maintain accurate records of all FLOT export shipments.
  • Input shipment details into logistics management systems for tracking and reporting.
  • Generate export documentation reports as needed for auditing and compliance.

6. Problem-Solving & Issue Resolution

  • Identify and correct discrepancies in export documentation.
  • Address shipment delays, customs holds, and compliance-related issues.
  • Work with relevant authorities to resolve customs and regulatory concerns.

Required Skills & Qualifications:

  • In-depth knowledge of FLOT shipping processes, export logistics, and international regulations.
  • Experience handling Bills of Lading (BOL) and export documentation.
  • Familiarity with customs clearance, freight forwarding, and carrier coordination.
  • Strong attention to detail and ability to manage multiple shipments efficiently.
  • Excellent communication and customer service skills.
  • Proficiency in export documentation software and Microsoft Office Suite.
